Privacy Policy

Pipable is built for small business owners who trust us with sensitive financial data. We treat that trust seriously. This policy explains exactly what we collect, how we use it, and your rights under Philippine law.

1. Overview

Pipable ("we", "our", or "us") operates the website at pipable.app and provides AI-powered bookkeeping services for small businesses in the Philippines. This Privacy Policy explains what personal and business data we collect, how we use it, who we share it with, and your rights under the Philippine Data Privacy Act of 2012 (Republic Act No. 10173, or "DPA").

2. Data we collect

We collect the following categories of data:

  • Account data — your name, email address, and password hash when you create a Pipable account.
  • Business profile data — your business name, business type (café, laundry, rental, etc.), and any other details you provide during workspace setup.
  • Transaction data — income and expense entries you log manually, via CSV/Excel upload, or via the Sales Snap photo feature.
  • Uploaded files and images — CSV, Excel, or image files you upload for AI processing. POS photos submitted via Sales Snap are processed in memory; the source image is not stored permanently after extraction. CSV/Excel files uploaded to the free /transaction-summary tool are processed in memory and deleted immediately after your session — nothing is retained.
  • Team member data — names and email addresses of staff you invite to your workspace.
  • Usage data — pages visited, features used, and timestamps, collected to improve the product. We do not use behavioural tracking for advertising.

3. How we use your data

We use the data we collect for the following purposes:

  • To provide and operate the Pipable service, including transaction logging, AI processing, and report generation.
  • To deliver your weekly AI digest every Monday with a plain-language summary of your business activity.
  • To run anomaly detection on your transactions and surface alerts on your dashboard.
  • To calculate your business health score and break-even metrics.
  • To send transactional emails such as invitation emails for team members and account-related notifications.
  • To improve the accuracy of our AI models using anonymised, aggregated patterns — never your identifiable business data.
  • To respond to support requests you submit.

We do not use your data for advertising, and we do not sell your data to any third party.

4. AI processing and third-party services

Pipable uses third-party AI providers (including large language model APIs) to process uploaded files, extract data from photos, generate weekly digests, and produce AI reports. When you submit data for AI processing, relevant portions of that data are sent to these providers under data processing agreements that prohibit them from using your data to train their models or retaining it beyond the scope of processing. We select providers that maintain appropriate security certifications. No provider receives your full transaction history — only the data necessary for the specific task you initiate.

5. Data sharing

We share your data only in the following limited circumstances:

  • With team members you invite — staff members you add to your workspace can see the transactions relevant to their role as defined by your workspace settings.
  • With AI processing providers — as described in Section 4, solely for fulfilling AI features you initiate.
  • With infrastructure providers — our hosting, database, and email delivery providers process data as part of operating the service, under appropriate agreements.
  • When required by law — we may disclose data if required by a valid court order, government authority, or applicable Philippine law.

We do not sell, rent, or trade your personal or business data to any third party for marketing or commercial purposes.

6. Data retention

We retain your account and transaction data for as long as your workspace is active. If you delete your workspace, all associated data — transactions, team member records, uploaded file extractions, and generated reports — is permanently deleted within 30 days. Data processed by the free /transaction-summary tool is deleted immediately after each session and is never stored. Anonymised, aggregated statistics derived from historical data (e.g., industry-level averages) may be retained indefinitely as they cannot be traced back to individual workspaces.

7. Security

We implement industry-standard security measures including encrypted connections (HTTPS/TLS) for all data in transit, hashed password storage, and access controls that restrict Pipable staff from viewing individual workspace data. No method of electronic transmission or storage is 100% secure. If you believe your account has been compromised, contact us immediately at [email protected].

8. Your rights under the Philippine DPA

Under the Philippine Data Privacy Act of 2012 (RA 10173), you have the following rights regarding your personal data:

  • Right to be informed — you have the right to know how your data is collected and used, which this policy fulfils.
  • Right to access — you may request a copy of the personal data we hold about you.
  • Right to rectification — you may correct inaccurate or incomplete data via your account settings or by contacting us.
  • Right to erasure — you may request deletion of your personal data. Deleting your workspace removes all associated data within 30 days.
  • Right to object — you may object to processing of your personal data for purposes beyond operating the service.
  • Right to data portability — you may request an export of your transaction data in a common format (CSV).

To exercise any of these rights, contact us at [email protected]. We will respond within 15 business days. You also have the right to lodge a complaint with the National Privacy Commission (NPC) at privacy.gov.ph.

9. Cookies and local storage

Pipable uses cookies and browser local storage strictly to maintain your login session and remember your preferences (such as dark mode). We do not use advertising cookies, cross-site tracking pixels, or third-party analytics that build behavioural profiles. You can disable cookies in your browser settings, but doing so will prevent you from staying logged in.

10. Children's privacy

Pipable is designed for business owners and is not directed at individuals under 18 years of age. We do not knowingly collect personal data from minors. If you believe a minor has provided data to us, contact us at [email protected] and we will delete it promptly.

11. Changes to this policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. For material changes that affect how we use your data, we will notify workspace owners via email at least 14 days before the change takes effect. Continued use of Pipable after the effective date constitutes acceptance of the updated policy.
